The 2024-25 Grant Application Process

Prepare

  1. Read through ALL the information on this webpage and linked webpages to develop a full understanding of the APSF Grant Program.

  2. Formulate your grant proposal and prepare an itemized budget with estimated costs. Remember to include tax AND any shipping/handling charges. Please indicate the source(s) of your cost estimates, as well as any supplemental funding sources (e.g. PTA, private grants, etc.).

  3. Informally share your grant proposal with your building principal and provide them with the signature page to ensure you and your principal are aware of all APSF applicable policies and expectations in the event that you are awarded a grant.

  4. Work with your school grant contact to submit an “Intent to Apply Form” to the WCPSS Office of Grants. This must be done prior to completing and submitting the formal grant application.

  5. We recommend that you review the preview question document ahead of time and use a copy of it to prepare and record your answers before you begin filling out the actual application form.

  6. Visit our Application Resources page which contains additional information that will be helpful as you prepare your application - including exemplar grant applications and scoring rubric.

Apply (application window opens September 15th)

  1. Complete the APSF Teacher Grant Application using the link below. All sections must be completed in full for your application to be considered. Applications may be submitted from September 15, 2024 - October 15, 2024. Applications received before or after this period will not be accepted.

Follow Up

  1. Upon receipt of a complete application, you will receive a confirmation email from GoodGrants.com. If you do not receive this confirmation email, please check your spam folder and email us at apsf.grants@helpapexschools.org if you have any questions.

  2. The APSF will review and assess all applications against the established criteria and within the constraints of the available budget to determine which grants will be funded. We may contact you during the review process for further information or clarification questions.

  3. By late February 2025, you will receive notification via email as to whether or not your grant has been approved. The APSF strives to grant funds for as many quality applications as possible each year, but operates on the financial generosity of the community and a limited budget.

 

Additional Information for Applicants

  • All applications must be submitted by a teacher or staff member (who has direct student contact) at a WCPSS school served by the APSF. Organizations that are associated with the schools are not eligible to apply.

  • The objective of the APSF grants program is to enhance the educational experience of a wide range of students.

    Grant funding may cover:

    • programs

    • materials and equipment

    • technologies

    • other curriculum/program enhancements

    The above funding guidelines represent guiding principles of the APSF. In rare circumstances the APSF may choose to provide or not provide funding which differs from these guidelines.

  • APSF will generally not provide funding for:

    • Professional development (we plan to offer a separate PD grant cycle in the future).

    • Grants that replace or relieve existing responsibility for public funding of school programs, or are for compulsory curriculum items that are the purview of WCPSS (e.g. teacher salaries or textbooks).

    • Grants for non-specific expenses. All grants must include itemized budgets.

    • Programs/technologies/equipment that have been previously funded at your school by the APSF. However, it is acceptable to replicate a program previously funded at another school.

    • Routine consumable supplies that are traditionally provided by other sources.

    • Transportation.

    • Personnel, including substitute teachers.

    The above funding guidelines represent guiding principles of the APSF. In rare circumstances the APSF may choose to provide or not provide funding which differs from these guidelines.

    • All granted funded materials are property of the school and must stay at the school awarded the grant.

    • Principal agrees to coordinate with the APSF should the primary applicant not be able to fulfill their role.

  • Members of the APSF Teacher Grant Committee will blindly review proposals and score against the established criteria. Please familiarize yourself with the rubric. The following weighted categories are of most importance to the review team:
